Summary

Reporting directly to the Chief Executive Officer, the Contracts Administrator will administer, extend, negotiate and terminate standard and nonstandard contracts. Conduct proposal preparation, contract negotiation, contract administration, and customer contact activities to provide for proper contract acquisition and fulfillment in accordance with company policies, legal requirements, and customer specifications. Examine estimates of material, equipment services, production costs, performance requirements, and delivery schedules to ensure accuracy and completeness. Prepares bids; processes specifications, progress, and other reports; advise management of contractual rights and obligations; compile and analyze data; and maintain historical information.


Duties & Responsibilities

  • Draft and negotiate subcontracts, Non-Disclosure Agreements, Terms and Conditions, and Teaming Agreements ensuring that changes are agreed upon by all involved.
  • Interface with the government contract representatives and develops solutions to any issues that arise.
  • Oversee the specific mandates in a contract and make sure that all parties involved fulfill obligations to which they agreed.
  • Maintain detailed and organized files.
  • Manage electronic and paper documentation and contracts spreadsheets.
  • Track and file Monthly Status Reports, Non-Disclosure Agreements, Teaming Agreements and Certificates of Insurance.
  • Manage/supervise personnel with varying levels of experience and education.
  • Invoice for the contracts on Wide Area Work Flow and using DoD eMALL.
  • Assist in development of improved procedures and best practices for the Contract Administration Team.
  • Provide Management control and oversight of the Contract Administration function and contract guidance to the respective and individual Program Management teams.
  • Complete closeout processes to ensure that the contract has been ended in an appropriate manner.
  • Assist in composing and reviewing letters, memoranda, reports, and other written communications as required. Assists staff with surveys and collects/researches data for special projects.
  • Reviews reports, literature, attends meetings, conferences and seminars to maintain knowledge and training as necessary to provide a high level of performance and job expertise.
  • Perform miscellaneous office and administrative duties such as answering telephones, office support, etc. as required. Keep office space in a clean and publicly presentable condition.

Skills and Qualifications

  • Bachelor's Degree or 2-3 years related experience and/or training; or equivalent combination of education and experience.
  • Must have extensive and superior knowledge of FAR, DFAR, and DOD and contracting regulations and practices
  • Demonstrated knowledge and experience managing an environmental and safety program
  • Basic skills in automated office products (e.g. MS WORD, MS EXCEL, MS PowerPoint)
  • Strategic thinker, analytical
  • Strong communication skills (written and verbal), understands target audience and can adjust accordingly
  • Well-organized, strong time management skills
  • May require working irregular hours to be responsive as required
